Good afternoon everyone!

How many of us leave paper documents on our desks when we leave the office?

At the weekend, myself and Patrick were on a city break in Sweden. It was great to have a break, it will be our last trip away before our baby is here in December. However as a family run business, we never really switch off and are constantly thinking of Data Protection and whilst walking around, we noticed a recurring theme, poor information protection practices!

The office shown in the photo below, had floor to ceiling glass windows, for the passer by to glance in. Each desk had paper documents with names addresses and even prices clearly visible. Although, not all of this information may have been confidential or personal data, it was most defiantly important business data to the company that was being worked on.

To the businesses we work with, we stress that all business information should be considered as confidential, the question to ask is – “Would I give this information to my biggest competitor?” If the answer is no ensure that you are prudent in how the information is handled, shared and indeed disposed of.

Since being back in the North East we have noticed similar sights, particularly on high streets but also in many ground floor office windows. We would urge any business who see traffic pass their windows to take the time to think what information they may be making public, without realizing.

To combat the risk of data breaches, which could lead to fines and reputational damage, the goal for businesses should be to work towards a culture of information security.  Shredding sensitive, personal and confidential documents is a good first step, as is adopting a clear desk policy and we can advise on best practice for both.

What is a clear desk policy (CDP)

A clear desk policy is a corporate directive that specifies how employees should leave their working space (desk) when they leave their office. Most companies who operate a clean desk policy, ask that all staff ensure all desks are clear of papers at the end of each day. This means shredding any documents that are no longer needed, putting them into a secure confidential console/bin or locking them aware in secure storage. This also applies to walls, notice boards and any other office space that may be visible. For example, a cleaner could come into an office and take away a vast amount of confidential information from paper lying around on desks. Today, CDP’s are increasingly being motivated by information security compliance regulations such as ISO 27001 and the Data Protection Act.

How much is in house shredding costing you?

Hi Guys,

We hope you have had a great bank holiday week, we have!

I thought today I would share with you a recent discussion I had with a now new customer, who called our office today.

The customer called to enquire about the costs of a secure shredding service in Darlington, where he is based. We took ten minutes to get to know his business and particular requirements. For clarity their office had six staff and two administrators were doing the document shredding in-house on a daily basis.

When we provided our quotation, our customer initially resisted stating he could not justify the increase in costs for something they already have a solution in place for that “doesn’t cost them anything”. I asked politely why I thought he was wrong on this, he obliged and allowed me to explain. As we believe the real cost of the service should be measured in time and not monetarily, if your staff have more time to focus on your customers then your business will benefit.

The conversation went as follows,

Me: “so you have two administrators who shred for you and the other guys in the office when they have time”

Customer: “yes they do all the shredding we need on a daily basis.”

Me: “How long would they spend doing this each day”

Customer: “the shredder is on for around 5 mins at a time and they each take around 2 turns each per day.”

Me: “OK, and do they have to process the documents too, i.e. take out paper clips, poly pockets etc?”

Customer: “just poly pockets, the shredder handles paper clips”

Me: “So they spend another 2 mins getting the documents ready?”

Customer: “Yes, about that”

Me: “OK, Great and could you tell me how much you pay the administrators approx.”

Customer: “£16,000 per year for a 38 hour week”

Me: “Thanks, right just doing some quick calculations:

7 mins x 2 times per day x 5 days = 70 mins

70 mins x 52 weeks = 60.5 hours year on shredding. Each”

Customer: “Never, let me check.”

(He checked and said it’s actually 60.66 hours)

Customer: “So that’s £968.00 per year on wages.”

Me: “Yes, and we quoted you slightly less than this for a regular service that would ensure all paper waste is collected from site”

Customer: “I see what you’re saying”

Me: “More importantly, could you think of anything your administrators, could spend their time doing for a week and a half of the year other than shredding?”

Customer: “Yes, when can you deliver your shred box then?”

We signed the customer up on to a monthly service today and will be delivering their secure console next Tuesday.

Important information for Barristers, Solicitors and those in the legal profession.

Happy Tuesday Everybody,

Today we want to pass on some vital information from the Information Commissioners Office for those that work in the legal sector.

Last week the Information Commissioners Office issued a stark warning to barristers and solicitors. The warning is for them to take greater care with personal information and ensure it is kept secure, particularly in the area of the security and protection of paper files. The nature of the work legal professionals undertake means they handle a lot of personal and sensitive data on a daily basis.

The damage that a data breach in relation to this information could cause is significant and often could meet the statutory threshold for issuing monetary penalties. The Information Commissioners Office has the power to issue fines of up to £500,000 for any serious breach of the Data Protection Act.

This warning has been issued due to an increase over the last three months in the number of data breaches reported to the ICO, that come from the legal sector. There have been 15 reported breaches coming from the legal sector in the past 12 weeks. Whilst this may not seem like a large number of breaches to some, again we need to take into consideration the nature of these breaches and the sensitivity of the data that is held by legal professionals. The damage that could potentially arise from these breaches is significant.

Paper files are often the weak link in the security chain for legal professionals, as they are needed to be taken to and from court and are worked on both at home and at work.

 

It is important to remember that when considering the issue of monetary penalties for a data breach, the Information Commissioners Office takes into account the potential harm that could be caused and the actual damage done. The potential to cause harm is a significant determining factor.

North East Secure Shredding Service

Last week we had a great week at The Shred Centre. Our mission was to contact some of the largest businesses who are based in the North East. As a region we have some very strong businesses, who are recognised nationally and indeed internationally as industry leaders. It was great to find that on the whole, the majority of these large North East institutions are keen to support local businesses such as ours.

A response that typifies the support and positivity we received came when we called to offer our secure shredding services for an off shore engineering company was;

Although they were in contract, they stated that they “are very focused on using local businesses so look forward to talking to you later this year”. We informed this large multinational company that we are a family run North East document shredding company with over 15 years industry experience, who are keen to work with the region’s top businesses.

We were already proud of our region and the fantastic businesses that are located in the North East. This has only strengthened our sense of regional pride.

The Document Shredding Process

Schools and Document Shredding

Sensitive information held by schools includes but is not limited to health, religion, age, nationality, criminal offences and trade union ships. The nature of this information and the environment in which it is produced, means secure disposal of this information should be considered a priority by Schools.

As a School you have a duty of care to protect children, staff, parents and suppliers information, if you intend to comply with the Data Protection Act, which is a legal obligation and not actually a choice.

At most Schools, information protection and security is taken seriously. It is common practice to keep files locked in cupboards and access to physical documents restricted and as secure as possible. This helps safeguard personal information.

The weak link in the protection chain is often at the disposal stage in the lifecycle of these documents. School staff who take so much care to protect the data they process whilst it is onsite, often dispose of the material via a paper recycling service, rather than a secure shredding service, designed specifically for schools.

Just like ensuring the material is locked away on site, a secure shredding service with highly trained DBS checked staff helps keep the security of the sensitive information to the highest standard.

Your pupils, parents and employees all have the right to have their information protected. The responsibility schools have in relation to the ensuring personal data is treated appropriately, applies until the data is destroyed.

Disposing of documents in a recycling bin does not ensure destruction, therefore the responsibility for the data remains with the data controller from the School, who puts the information in the bin even when it has left site. If a breach occurs at this point, the school will be fined and the data controller held responsible, not the waste service provider.

Data Protection Responsibility

When confidential information needs to be disposed of, the most secure method is the complete destruction of the information. Once documents have been shredded, they can be recycled with no risk to the School.

When having a service is not enough….

Today we want to show you when having a document destruction “service” is not enough.

Having “a service” is something you have done to your car and it may be a cliché but we believe that working in partnership is the only way to work. It is also the only way to ensure complete security to the businesses we protect.

The pitfalls of adopting a standard “service” provider are clearly shown in the image below.

How not to store your waste

 

This image is of one of our competitors’ secure consoles and was taken at a site we were visiting two days ago. Confidential waste is clearly accessible and when you consider that this secure unit is in a communal area of a serviced office, complex risks are multiplied. Various different (and competing) businesses use this console for secure waste and this data is in effect now being shared.

We know this issue has not been addressed by the current service provider. We were told this issue was a regular occurrence a couple of days before every service, when we asked an office user.

The reality is that in this case, the company servicing the site, are doing exactly what they said they would by providing a shredding service to the client.

However, at The Shred Centre we like to think that we provide more than just a service. We  actively secure business’ information through appropriate services that fit the needs of site users.

To do this, we offer the the following;

  1. Site audits are carried out prior to install of any units.
  2. Offer a trial period as standard to ensure recommendations made at site audits are correct in practice. Our trial periods are 8 weeks with no obligation to continue once ended.
  3. Destruction operatives that attend site are trained to spot any security weaknesses and report back to the account manager that same day, should any exist.
  4. In addition, we train our operatives to engage with clients where security weaknesses exist, explaining the risks.
  5. The account manager will book a visit to review security that same day if any risks are notified.
  6. We would recommend changes such as service schedule changes or changes to the number of installed consoles.
  7. Quarterly reviews are held with all clients to ensure that the needs have not changed on site.

In addition to making adaptations should over filling of consoles occur, we also make recommendations based on consoles being under filled. Reducing the number of bins or frequency to ensure a best fit service is in place.

At one of our customers’ sites recently we halved their collection frequency, changing their collections from every four weeks to every 8 weeks. This was down to our operative noting a change in their volumes, with the console being filled only half full on the last two collections.

We believe in, and actually adopt a partnership approach for two main reasons.

Firstly it is the only way to ensure complete security, requirements and site operations will change over time and being in regular contact allows us to work with the businesses we service to keep them secure, planning for these changes rather than react.

Secondly a healthy partnership is generally a longer term partnership. These types of partnerships protect our own business and keep us moving forward. We value each and all of the businesses we secure and keeping them secure is what keeps our company alive.
